An ordered setup checklist. Follow it and your first invoice will go through without errors.

What do I set up before my first invoice?

Six steps, in order. The order matters — each depends on the one before.

1. Your company details

Complete your company information: name, logo, address, phone, email and tax ID.

These are the details that appear on your printed invoices, so get them right early. A customer receiving an invoice with missing details starts to wonder.

2. The chart of accounts — start here

This is the most important step, and the one most people postpone.

Pashkateb seeds a basic chart of accounts when you register. Review it at Finance → Accounts and confirm these exist:

⚠️ If an account is missing, the invoice saves and stock moves but no entry is posted — with no error message. Correcting that later means a manual journal entry for every invoice affected. Set it up now.

3. Warehouses

Create at least one warehouse at Inventory → Warehouses, and switch on Is Default.

The default warehouse is what invoices fall back to when you do not choose one — it saves you a step on every invoice.

4. Item groups

Create at least one at Inventory → Item Groups.

Item group is a required field — without one you cannot save any item.

5. Brands

Create at least one at Inventory → Brands.

Also required. If you do not sell branded goods, create one called General and use it on everything.

6. Items and parties

Now you can add:

  • Items — with prices, VAT rates and opening balances.
  • Customers — name and phone are required, plus a credit limit if you want one.
  • Suppliers — only the name is required.

Opening balances

When creating an item, the opening balance field is editable — enter the quantity you hold today.

After saving it locks. Any correction afterwards is made with a stock adjustment, so that there is a trail in the stock ledger.

A checklist

  • Company details complete and logo uploaded
  • Chart of accounts reviewed and the core accounts present
  • At least one warehouse, one of them default
  • At least one item group
  • At least one brand
  • Items added with their opening balances
  • Customers and suppliers added
  • A test invoice created, submitted, and checked in the reports

That last step matters. Create a test invoice and submit it, then open the stock ledger and the general ledger and confirm both updated. If stock moved but no entry was posted, your chart of accounts is still incomplete.

Frequently Asked Questions

What should I do first?

The chart of accounts. If it is incomplete your invoices will save and stock will move but nothing will post to your books — and correcting that later is far harder than getting it right at the start.

Why can I not add an item?

Item group and brand are both required fields. You need at least one of each before you can save your first item.

Do I have to create a warehouse?

Yes. Every balance in Pashkateb belongs to a warehouse. Create at least one and mark it default so invoices have somewhere to sell from without you choosing each time.

How do I enter my current stock?

When creating an item, the opening balance field is editable — enter the quantity you hold. After saving it locks, and any later correction is made with a stock adjustment.
