Trial Balance report

A health check on your books. It must balance — and if it does not, something is wrong in the setup.

What is the trial balance?

A list of every account's balance, debit and credit. It is a health check on your books.

Where to find it

Reports → Financial Reports → Trial Balance, or /dashboard/reports/trial-balance.

Permission: reports:trial_balance.

It must balance

In double-entry bookkeeping every entry writes an equal debit and credit. So across all your accounts:

total debit balances = total credit balances

If it does not balance, something is wrong in your setup — not in the entries themselves, because Pashkateb refuses to save an unbalanced entry in the first place.

The usual causes

CauseFix
An account with the wrong normal balanceReview the Accounts screen — assets and expenses are debit, the rest credit
An incomplete chart of accountsInvoices submitted with no entries — add the accounts and post catch-up entries
Missing opening balancesIf migrating from another system, opening balances have to be posted as entries

Figures lower than expected?

This is the classic symptom of a chart-of-accounts problem.

When you submit an invoice and a required account is missing, Pashkateb completes the submission and moves stock but skips the entry. The result: correct stock and an incomplete trial balance.

The quick check: compare the Monthly Sales Summary against the Sales account balance in the trial balance. If the report is higher, that is your gap.

How to use it

  1. Open it at each month end.
  2. Confirm it balances.
  3. Review the main balances: cash, bank, receivables, payables and inventory.
  4. For any odd figure, open the General Ledger report and filter on that account.

It underpins the other statements

Profit and Loss and the Balance Sheet are both built on the same balances.

If the trial balance is not sound, neither of them will be. Always start here.

Frequently Asked Questions

My trial balance does not balance — what now?

The usual causes: an account configured with the wrong normal balance (debit instead of credit), or entries posted against an incomplete chart of accounts. Review the Accounts screen, and open the general ledger on any account whose figures look odd.

The figures are lower than expected

Most likely invoices were submitted with no entries — which happens when a required account was missing at submission. Review your chart of accounts and compare the sales report against the Sales account.

When should I open it?

At each month end before closing, and before producing any financial statements. It is the first check that reveals a setup problem.
