Most Purchase Returns report
The items you send back to suppliers. A direct signal about the quality of what reaches you.
What is this report?
It ranks items by the quantities you have sent back to your suppliers.
Where to find it
Reports → Purchasing Reports → Most Purchase Returns, or /dashboard/reports/most-purchase-returns.
Permission: reports:most_purchase_returns.
A direct signal of supply quality
Returning goods to a supplier means what arrived was not as agreed: damaged, the wrong size, lower quality than promised, or short.
Repetition is the signal. One return is an incident. The same item from the same supplier every month is systemic.
Compare it with sales returns
This is the strongest way to read it.
| In purchase returns | In sales returns | What it means |
|---|---|---|
| ✅ | ✅ | A problem with the goods themselves — the supplier is the cause |
| ❌ | ✅ | The goods are fine — the problem is your description or photos |
| ✅ | ❌ | You are catching problems on receipt before they reach customers — good |
The first row is a clear decision: talk to the supplier, or change them.
Read it with Top Suppliers
A large supplier whose goods keep coming back is not a good supplier whatever their volume. The real cost includes your time, your shipping and your customers' confidence.
A return does not fix your cost
An important point: a purchase return does not recalculate average cost.
If you bought at a wrong high price and submitted the invoice, your average cost is polluted — a return reduces the quantity but will not bring the average back.
Check purchase prices before submitting.
A routine
Open it quarterly before renewing your supplier arrangements.
Frequently Asked Questions
How do I use it to assess suppliers?
If a particular item from a particular supplier keeps appearing, that is a quality problem at their end. Raise it with them using the figures, or find an alternative.
How does it relate to Most Returned Items?
If the same item appears in both — your customers return it to you and you return it to your supplier — the problem is certainly the goods themselves, not how you described them.
Does a purchase return fix my cost?
No. A purchase return reduces the quantity and the supplier balance but does not recalculate average cost. If you bought at a wrong high price, a return will not repair the cost.
