Expenses report

What you spend and on what. Only as useful as your chart of accounts is detailed.

August 27, 2026expenses report • net expense • expense analysis

What is the Expenses report?

It summarises your expenses: total debit, total credit and net expense.

Where to find it

Reports → Financial Reports → Expenses, or /dashboard/reports/expenses.

Permission: reports:general_ledger.

The three figures

FigureWhat it means
Total debitThe expenses themselves
Total creditCorrections and refunds against expenses
Net expenseThe difference — the figure that matters

It is only as useful as your accounts are detailed

This is the most important point on this page.

If every expense is recorded against one account called "Expenses", the report shows you one large useless number.

Create an account per expense type:

5100 Rent
5200 Utilities
5300 Salaries
5400 Transport
5500 Marketing and advertising
5600 Administrative expenses

Then you can see exactly where money goes, compare month against month, and spot the line that is growing.

Read it monthly

What you seeWhat to do
A line rising steadilyFind the cause — a renewed contract? higher usage?
A sudden jumpOpen the general ledger on that account and look at the movement
High fixed costsThe first thing to review when profit falls

Read it with Profit and Loss

The Expenses report breaks the spending down. Profit and Loss puts it in the context of your income.

Together they tell you: what you earned, what you spent, and what was left.

Record as you go

Small expenses that get postponed disappear. Record them daily — otherwise this report is incomplete and your profit looks better than it is.

Frequently Asked Questions

The report shows me one large number

Because all your expenses are on one account. Create an account per expense type — rent, utilities, salaries, transport, marketing — and the report becomes genuinely useful.

What do total debit and credit mean here?

Debit is the expense itself; credit is any correction or refund against it. Net expense is the difference — the figure that matters.

An expense I recorded is missing

Check it was recorded against an account of type Expense. Movements on other account types will not appear here.
