Warehouse transfers: moving stock between warehouses
The correct way to move goods between two warehouses — and the neatest way to stock your online store's warehouse.
How do I move stock between warehouses?
From Inventory → Warehouse Transfers, click Create New, choose the source and destination warehouses, add items and quantities, and save. The quantity leaves the first and arrives in the second in the same instant.
Where to find it
Inventory → Warehouse Transfers, or /dashboard/warehouse-transfers.
Permissions: warehouse_transfers:view to see, warehouse_transfers:add to create.
The form
The header
| Field | Required? | Details |
|---|---|---|
| Transfer Number | — | Generated as WTR-{company code}-{year}-{sequence} |
| Date | ✅ | The date of the move |
| From Warehouse | ✅ | The source — the item list is tied to it |
| To Warehouse | ✅ | The destination — must differ from the source |
| Notes | No | Why the move is happening |
The item lines
| Column | Editable? | Details |
|---|---|---|
| Item | ✅ | Scoped to the source warehouse, showing what is available |
| Quantity | ✅ | Capped at what the source warehouse holds |
| Price | ❌ | Average cost or purchase price — display only |
You cannot repeat the same item on two lines. Ask for more than is available and the quantity is reduced to the balance.
What happens on save
Immediately, with no submit step:
- An out row in the stock ledger from the source warehouse.
- An in row in the stock ledger into the destination.
- Both carrying the same transfer number.
- The item's total stock does not change — only its distribution between warehouses.
Why there is no journal entry
A transfer is not a financial event. The goods still belong to the same company at the same value — they have only moved.
Which is why:
- A stock adjustment posts an entry (the total quantity really changed).
- A warehouse transfer posts nothing (the total quantity is the same).
The most useful case: stocking the store warehouse
If you run an online store, this is the neatest use of transfers.
The storefront only sells from Online Store Warehouse. Rather than running adjustments, transfer the quantity you want to allocate online from your main warehouse into it. That way:
- Your total stock does not change.
- You know exactly how many units are committed to online.
- The move is recorded, with who did it and when.
There is no edit
Transfers are saved as posted, with no edit and no cancel.
If you made a mistake, create a reverse transfer with the same items and quantities in the opposite direction. The history then shows both movements, which is cleaner than trying to erase anything.
Following up
| Report | What it shows |
|---|---|
| Warehouse Transfer History | Every transfer with its detail |
| Stock by Warehouse | How goods are distributed right now |
| Stock Ledger | The in and out rows per item |
Frequently Asked Questions
Does a transfer post a journal entry?
No. A transfer is not a valuation event — the goods still belong to the same company, they have just moved. What changes is how quantities are distributed between warehouses; the item's total stock is unchanged.
Can I edit a transfer after saving?
No. Transfers take effect immediately and are saved as posted, with no edit stage. If you made a mistake, create a reverse transfer that moves the quantity back.
Why does the quantity drop to a lower number by itself?
Because you asked for more than the source warehouse holds. The system caps the quantity at the available balance and will not allow a negative balance.
What is the most useful thing transfers are for?
Stocking your online store's warehouse. The storefront only sells from Online Store Warehouse, so a transfer is the cleanest way to move goods there from your main warehouse.
