Selectors: customer, supplier, item, warehouse and account
The same selectors appear across every form. Understanding them saves time on every screen.
What are the selectors in Pashkateb?
Pashkateb uses a set of shared pickers that appear across every form: Customer, Supplier, Item, Warehouse, Account and Shipping Company. They all work the same way — type part of a name and they search and narrow as you go.
Why this matters
Forms in Pashkateb do not let you type names by hand. You choose from existing records. The point is that every invoice is tied to a real customer record and every line to a real item — so your reports come out right.
Which means before you raise your first invoice, you need customers, items and warehouses on file.
The available selectors
| Selector | Where it appears | What it shows |
|---|---|---|
| Customer | Sales invoices, payments, incomes | Enabled customers, with a details panel after you choose |
| Supplier | Purchase invoices, payments, expenses | Enabled suppliers |
| Item | All invoices, adjustments, transfers | Enabled items, filtered by warehouse |
| Warehouse | Invoices, adjustments, transfers | Enabled warehouses |
| Account | Payments, journal entries, expenses | Chart of accounts, filtered by type |
| Shipping Company | Sales invoices | Enabled shipping companies |
The item selector is tied to the warehouse
This is what confuses people most often.
The item list does not show every item in the company — it shows items with their balance in the warehouse you selected. That is deliberate, so you see the real balance as you type the quantity, and the system can stop you selling more than you have.
The practical consequences:
- Pick the warehouse first, then the items. The other way round leaves the list empty or incomplete.
- In warehouse transfers, the list is tied to the source warehouse and shows what is available to move.
- In stock adjustments, the item list stays disabled until you choose a warehouse.
- In return invoices, the list is narrower still: it shows only the items on the original invoice, along with the remaining returnable quantity.
The account selector is filtered by context
On the payments screen, the Paid From and Paid To accounts change with the payment type:
| Payment type | Paid From | Paid To |
|---|---|---|
| Receive | Receivable accounts | Bank and cash |
| Pay | Bank and cash | Payable accounts |
| Internal Transfer | Bank and cash | Bank and cash |
If a list comes back empty, your chart of accounts is most likely missing that account type. Check Finance → Accounts.
A record is not appearing?
Work through these in order:
- The record is disabled. Every selector shows enabled records only. Open its screen and enable it.
- The wrong warehouse (for items). The item has no balance in that warehouse.
- The wrong account type (for accounts). The list is filtered by context.
- The record does not exist yet. Add it from its own screen first.
Tips
- Type part of the text rather than the whole name — the list matches anywhere inside it.
- In an invoice table, press Enter on the last row to open a new line immediately.
- After picking a customer, take a second to read their details panel — especially available credit, because that is what decides whether the submit will succeed.
Frequently Asked Questions
Why can I not find an item in the invoice list?
Usually one of three reasons: the item is disabled, it has no stock in the warehouse you selected, or you have not selected a warehouse at all. The item list is tied to the warehouse — change the warehouse or give the item a balance there.
Why do I have to pick the warehouse before the item?
Because balances and allowed quantities are calculated per warehouse, not per company. The list needs to know the warehouse first so it can show you each item's balance and cap the quantity correctly.
Why do the account lists change on the payments screen?
They are filtered by payment type. Receive draws from receivable accounts into bank and cash, Pay draws from bank and cash into payable accounts, and Internal Transfer moves between bank and cash accounts only.
Can I add a new customer while I am in the middle of an invoice?
No. The customer has to exist on the Customers screen first. That is deliberate, so their details — phone, credit limit, tax ID — are captured properly once rather than typed in a hurry.
