Items Need Reorder report
Your shopping list. Open it weekly and order what is on it.
What is this report?
Your purchasing list. It shows items whose total stock has fallen below the minimum recorded on them.
Where to find it
Reports → Inventory Reports → Items Need Reorder, or /dashboard/reports/items-need-reorder.
Permission: reports:items_need_reorder.
How it works
It compares the item's total stock (the sum across every warehouse) against the minimum on its item card.
Anything below its minimum appears on the list.
The minimum is what drives it
The report is only as useful as your minimum levels are realistic.
| Minimum | Result |
|---|---|
| Zero | The item never appears |
| Far too low | You learn it is short after it has run out |
| Far too high | The list is enormous and you stop opening it |
| Realistic | A genuinely useful buying list |
The practical calculation:
minimum ≈ (daily sales × supplier lead days) + a safety margin
The routine
- Open the report weekly.
- Review what is on it.
- Raise a purchase invoice for what is short.
- When the goods arrive, submit the invoice — without submitting, stock does not increase.
Tips
- Start with your twenty best sellers. Set their minimums properly and leave the rest at zero until you need them.
- Revisit the numbers quarterly. Seasons change how fast things sell.
- Open Low Stock per Warehouse alongside it — you may not need to buy at all, only to rebalance between warehouses.
Frequently Asked Questions
The report is empty
Your minimum levels are probably all zero. Open the Items screen and set a realistic minimum on your best sellers at least.
The report is enormous
Your minimums are too high. Start with your twenty best sellers, set those properly, and leave the rest at zero until you need them.
How does it differ from Low Stock per Warehouse?
This compares the minimum against the item's total stock across all warehouses — a buying list. The other compares it against each warehouse's balance — a distribution list.
