The terms you encounter in the system, explained in a line or two.

Invoice terms

Draft — an invoice that is recorded but has no effect at all: no stock movement, no entries, no change to the party's balance. You can edit and delete it.

Submitted — the invoice has taken effect: stock moved, the journal entry posted, the party balance updated. It cannot be undone.

Return invoice — a new invoice linked to an original, reversing its effect. It does not modify the original.

Returnable quantity — how much of each item on an invoice can still be returned. It falls with each return.

Credit limit — the maximum a customer is allowed to owe. Zero means unlimited.

Current balance — what a party owes you (or you owe them). The system maintains it.

Stock terms

Current stock — an item's total balance across every warehouse combined.

Warehouse balanceone warehouse's share of that item. This is what the online store reads.

Stock ledger — an unalterable record of every stock movement, with the balance after each one.

Stock adjustment — a correction after a stocktake. It takes effect immediately and posts a journal entry.

Warehouse transfer — moving goods between two warehouses. It posts no entry because the total is unchanged.

Average cost — the per-unit cost calculated as a weighted average. Updated by submitted purchase invoices only.

Purchase price — a reference number you type on the item card. Not the same as average cost.

Maintain stock — a switch on the item. Switched off, the item leaves the stock system entirely.

Minimum stock — the alert threshold. It does not block sales.

Default warehouse — the warehouse invoices use when you do not choose one. Only one per company.

Online store terms

Online Store Warehouse — a warehouse with the code ONLINE, created automatically. The store sells from it alone.

Stock reservation — when a shopper orders, the quantity is reserved, not deducted. It disappears from what is available to sell; the actual deduction happens at fulfilment.

Available to sell — the store warehouse balance minus reserved quantities.

Fulfill order — the action that submits the order's invoice and actually moves stock.

Enabled (a product) — active in the system. A disabled product stays hidden even when published.

Published (a product) — visible on the live store. Both are needed for a shopper to see it.

Compare-at price — the struck-through price showing the saving. It is never charged.

Promo code — a code a shopper types at checkout. Different from a coupon, which applies to your subscription.

Accounting terms

Journal entry — a balanced accounting record: total debits equal total credits.

General ledger — a view built on the fly from journal entry lines. Not a stored table.

Accounts receivable — money your customers owe. Accounts payable — money you owe suppliers.

Normal balance — an account's natural direction. Assets and expenses are debit; the rest are credit.

Group account — a header account never posted to, with other accounts beneath it.

Trial balance — the balance of every account. It must balance.

Permission terms

Role — a set of permissions you assign to a user.

Permission — of the form module:action, such as items:add. Without view, the screen does not appear at all.

Company admin — the highest authority inside your company. Super admin — sees everything on the platform.

Frequently Asked Questions

Which two terms matter most?

Draft and Submitted. A draft has no effect at all; submitting does everything — stock, entries and the party balance. Most questions new users have come down to that difference.

What is the difference between average cost and purchase price?

Purchase price is a reference number you type on the item card. Average cost is calculated by the system from submitted purchase invoices, and it is what reports use to value your stock.

What does stock reservation mean?

When a shopper places an order on your store, the quantity is reserved rather than deducted. It disappears from what is available to sell while the warehouse balance is unchanged. The actual deduction happens when you fulfil the order.
