Data cleanup: an irreversible operation
It permanently deletes data from the database with no undo. Read this whole page before considering it.
What is data cleanup?
An operation that returns your company to its initial state by deleting records added after your registration date.
⚠️ This operation permanently removes data from the database and cannot be undone.
There is no restore. There is no recycle bin. Read this whole page before considering it.
Where to find it
Profile → the Run Cleanup button.
Two kinds
Transactional cleanup
Removes transaction data only:
- Sales and purchase invoices
- Payments and allocations
- Journal entries
- Stock movements, adjustments and transfers
It preserves: customers, suppliers, items, warehouses, groups, brands and your chart of accounts.
Full cleanup
Removes everything, including:
- All transaction data
- Customers and suppliers
- Items and inventory
It preserves: the default system records created when your company was registered.
The difference at a glance
| Transactional | Full | |
|---|---|---|
| Invoices, payments, entries | ❌ removed | ❌ removed |
| Stock movements | ❌ removed | ❌ removed |
| Customers and suppliers | ✅ kept | ❌ removed |
| Items and inventory | ✅ kept | ❌ removed |
| Default system records | ✅ kept | ✅ kept |
When to actually use it
One situation only:
After a trial or training period where you entered fake data, and you want to begin real work on a clean system.
When not to use it
| Situation | Do this instead |
|---|---|
| You want to remove a wrong invoice | A draft? Delete it from its screen. Submitted? Raise a return invoice |
| Your stock figures are wrong | Run a stock adjustment |
| A customer's details are wrong | Edit them on the Customers screen |
| You want to start a new financial year | Do not — your accounting history must remain |
| The system feels slow | Cleanup is not the answer — contact support |
The confirmation steps
The system puts several deliberate barriers in your way:
- Choose the cleanup type — transactional or full.
- Review the operation summary — showing the type, target records and scope.
- Tick the confirmation box — acknowledging that all data created after registration will be removed.
- Click Run Cleanup.
Those barriers are intentional. If the process feels like too many steps, that is precisely the point.
Before you consider it
- Have you exported anything you might need? (Every screen has export)
- Are you certain none of it is real data?
- Is anyone else in the company using the system right now?
- Do you understand there is no undo?
If you hesitate on any of these, do not do it.
Asking for help
If you are unsure, talk to support before running a cleanup, not after. Once it has finished, there is nothing anyone can do.
Frequently Asked Questions
Can I undo a cleanup?
No. The system states it plainly: this operation permanently removes data from the database and cannot be undone. There is no restore button and no recycle bin.
What is the difference between transactional and full cleanup?
Transactional removes transaction data only — invoices, payments, entries and stock movements. Full also removes customers, suppliers, items and inventory. Both preserve the default system records.
When should I use it?
In practice, one situation: after a trial or training period where you entered fake data and want to start clean. If you have any real data, do not use it.
I only want to delete a few invoices
Do not use cleanup. Draft invoices can be deleted from their own screen. Submitted ones cannot be deleted — raise a return invoice. Cleanup is a wholesale reset, not a correction tool.
