Customer Payment Ledger report
A customer statement. The first report to open before calling a late payer.
What is this report?
A customer statement: their invoices and payments side by side, so you know what they owe.
Where to find it
Reports → Financial Reports → Customer Payment Ledger, or /dashboard/reports/customer-payment-ledger.
Permission: reports:customer_payment_ledger.
The most useful case: before a collection call
Open this report before calling a late payer.
A call where you say precisely "invoice 1043 dated the 5th for 4,500 is still open, and you paid 2,000 against it on the 12th" is an entirely different conversation from "you owe me money".
Exact figures end the discussion before it starts.
Read it with Top Customers
| Their sales | Their payment | Verdict |
|---|---|---|
| High | Regular | Your best customer — offer better terms |
| High | Late | A risk — review the credit limit |
| Moderate | Regular | A healthy customer |
| High | Not paying | Stop selling on credit |
Top Customers alone can mislead — a customer who buys a lot and does not pay is not an excellent customer.
The balance looks wrong?
Check in order:
- Draft invoices? They are not in the balance. Submit them.
- An unallocated payment? If money was recorded without being tied to their invoices, the balance will differ.
- Returns? A submitted return invoice reduces their balance.
A collections routine
| Every | Do this |
|---|---|
| Week | Open the Customers screen and sort by balance descending |
| Week | Open this report for the top five balances and call them |
| Month | Review credit limits for persistent late payers |
The credit limit is your protection tool. For a customer who is always late, lower it or move them to cash.
Frequently Asked Questions
How do I see what a particular customer owes?
Filter on the customer and click Apply. You will see all their invoices, payments and the outstanding balance. The Customers screen also shows each one's current balance.
When should I use it?
Before calling a late payer — so you speak in figures rather than approximations. Before deciding to sell to them on credit again. And at month end to review collections.
The balance looks wrong
Check for draft invoices first — they are not in the balance. Then check the payments: was one recorded without being allocated to their invoices?
